Oddball Academy Policies

Welcome to Oddball Academy! Our policies are designed to ensure a safe, inclusive, and enriching environment for every learner. By enrolling in our programs, families agree to the following terms and expectations:

🧾 Registration & Payment

  • Enrollment Process: Registration is completed online and is required prior to participation. Enrollment is on a first-come, first-served basis.

  • Payment Options: We offer multiple options:

    • Per session: $35

    • Course Pack (8 sessions): $250

    • Monthly Membership: $120/month (auto-renews)

    • VEX IQ Competition Team: $140/month for 2 sessions/week

  • Epic Charter School Families: We are an approved Epic Learning Fund vendor. Please note that Learning Funds may not be applied to monthly auto-renewing memberships. Please contact us before registration to arrange Epic payments.

📆 Attendance & Missed Classes

  • Attendance: Consistent attendance is essential for student progress.

  • Missed Sessions: We do not offer refunds for missed sessions, but make-up options may be offered if space allows.

  • Cancellations: If Oddball Academy must cancel a class (e.g., due to weather or instructor illness), a makeup session will be offered or a credit applied to your account.

🚸 Drop-off & Pick-up

  • Drop-Off: Families may drop students off no earlier than 10 minutes before class.

  • Pick-Up: Students must be picked up within 10 minutes of class ending. Repeated late pickups may incur additional fees.

  • Authorized Adults: Only adults listed on the registration form will be permitted to pick up students unless prior written notice is given.

🧑‍⚕️ Health & Safety

  • Wellness Policy: Children must be symptom-free (fever, vomiting, cough, etc.) for at least 24 hours before attending class.

  • Injuries: Minor injuries will be treated with standard first aid. In the case of a serious injury or illness, emergency services will be contacted and parents will be notified immediately.

  • Medications: Staff may not administer medication under any circumstances.

♿ Inclusion & Accessibility

Oddball Academy follows Universal Design for Learning principles. We are committed to creating accessible, developmentally appropriate experiences for every kid.

  • Please inform us of any special needs, IEPs, 504 plans, or behavioral supports so we can accommodate them effectively.

  • If your child has a disability or medical condition that requires additional supports, we will work collaboratively to determine a plan.

💬 Code of Conduct

To ensure a respectful learning environment, we ask that all students:

  • Treat peers, staff, and materials with kindness and care

  • Follow classroom rules and safety guidelines

  • Practice teamwork, communication, and problem-solving

  • Refrain from aggressive, unsafe, or disruptive behaviors

Parents will be notified of repeated behavioral concerns. In rare cases, repeated violations may result in temporary or permanent removal from a course.

📸 Media Release

By enrolling, you grant Oddball Academy permission to use photographs, audio, or video recordings of your child for promotional purposes unless otherwise stated in writing. Media may be used on our website, social media, or print publications.

***You may opt-out of media release during the registration process or by submitting an opt-out form to liza@oddballacademy.org

🛍️ Make & Take Kits & Supplies

Many courses include take-home STEM kits or student-built projects. These are provided for individual use only and are non-refundable. We strive to keep costs low and materials developmentally appropriate.

💳 Refund Policy

  • Refunds are available only for cancellations made at least 7 days before the first class in a session.

  • After this time, payments are non-refundable, but may be credited toward future programming on a case-by-case basis.

  • Monthly memberships may be canceled prior to renewal. No partial refunds for unused time will be given.

📬 Communication Policy

  • We communicate with families via email and our secure parent portal.

  • Please ensure contact info is up-to-date and check messages regularly for updates, cancellations, and special events.

  • Urgent issues (e.g., pick-up delays, health concerns) should be communicated by phone or text using the number provided in your welcome materials.

👨‍👩‍👧 Parent Involvement

Oddball Academy is built on a strong foundation of family engagement. We encourage:

  • Participation in Family STEM Saturdays

  • Support with at-home learning extensions

  • Attendance at student showcases

  • Open communication with instructors and staff

We believe learning thrives when parents are partners in the process.​​
